2. Payment Information
Body Matrix uses third-party payment providers integrated with our business systems to process payments.
Sensitive payment credentials, such as full credit card numbers, are handled by the applicable payment provider rather than stored directly by Body Matrix through the Odoo platform.
Where supported, a payment provider may provide a secure payment token or reference that allows a customer to save a payment method for permitted future transactions without Body Matrix receiving the full card number.
We may retain transaction-related information such as the amount paid, payment status, transaction reference, payment method type, billing information, and limited payment details made available by the payment provider.
3. Participation & Wellness Information
To provide a safer and more personalized movement experience, you may choose or be asked to provide information that helps our instructors understand how you would like to participate.
This may include information concerning:
Injuries or areas requiring modification
Mobility limitations
Accessibility needs
Pregnancy or postpartum considerations
Physical limitations relevant to participation
Hands-on assist or adjustment preferences

Body Matrix does not use this information to diagnose or treat a medical condition.

Access should be limited to personnel, instructors, contractors, and service providers who reasonably need the information to provide or support your Body Matrix experience.
Nevada Consumer Health Data Notice
Nevada law provides heightened protections for certain information that may identify or relate to a consumer's past, present, or future health status.
Because Body Matrix may receive participation-related information from members and guests, we maintain the following practices regarding consumer health data.

7. How Consumer Health Data Is Processed
Consumer health data may be maintained electronically within Body Matrix's authorized business systems or, where necessary, within records maintained by an authorized service provider.
Access is intended to be role-based and limited to what is reasonably necessary.
For example, an instructor may need to know that a participant has requested a wrist-friendly modification or does not want hands-on assists. That does not mean the instructor needs access to unrelated account, payment, or personal information.
Body Matrix seeks to follow that same principle throughout its systems:
the right information, for the right person, for the right reason.
8. Sharing Consumer Health Data
We may share consumer health data when reasonably necessary to provide a service you requested, including with:
The instructor teaching your class or session
Authorized Body Matrix personnel
Contractors supporting Body Matrix operations
Technology providers processing information on our behalf
Providers administering forms, signatures, records, or customer accounts
Emergency responders when reasonably necessary
Professional advisors or governmental authorities when required or permitted by law
Where affirmative consent is legally required before consumer health data is shared, Body Matrix will request that consent separately.
Body Matrix does not sell consumer health data.
Body Matrix does not condition membership, participation, or access to services on your agreeing to sell your consumer health data.
9. Advertising & Consumer Health Data
Body Matrix does not intentionally disclose consumer health data to advertising platforms for targeted advertising.
Information concerning injuries, pregnancy or postpartum status, accessibility, mobility, symptoms, physical limitations, modifications, or similar participation information should not be used to create marketing audiences or advertising profiles.
General website analytics may collect technical website activity as described elsewhere in this Policy and our Cookie Policy, but Body Matrix does not authorize advertising or analytics providers to use Body Matrix consumer health data to infer a person's health status.
Body Matrix also does not intentionally use precise location information to infer a person's health status or their attempt to obtain a health-related service.

Some Body Matrix services are provided by instructors or professionals who operate as independent contractors.
Where necessary to provide a class or service, an instructor may receive limited information concerning participants in that class or appointment.

Hands-on assist preference

Other participation information reasonably necessary for the requested service
Contractor access should be limited to information reasonably necessary for the contractor's role.
Information received through Body Matrix systems may not be independently used by contractors for unrelated marketing or other unauthorized purposes.
21. Events, Partners & Guest Experiences
Body Matrix may host or participate in events involving guest instructors, wellness professionals, beauty professionals, community partners, brands, or other businesses.
Body Matrix does not automatically give an event partner unrestricted access to the Body Matrix customer database simply because that partner participates in an event.
If participation requires information to be provided directly to another business or professional, we may disclose that fact when appropriate.
Information you independently provide directly to another business is governed by that business's own privacy practices.
22. Photos, Video & Media
Body Matrix may photograph or record certain events, classes, community activities, or studio experiences.
This Privacy Policy is not a blanket photography or publicity release.
Where individual consent, an event notice, or a separate media release is appropriate, Body Matrix may use a separate process.
Security surveillance used for safety purposes is treated differently from promotional photography.

Body Matrix does not intend for children under 13 to independently create customer accounts or independently provide personal information through our online booking systems.
When we receive information concerning a minor through a parent or legal guardian, we use that information to administer the minor's participation and the requested service.

Body Matrix is in the business of creating exceptional movement and wellness experiences—not selling customer data.
We do not sell our customer database.
We do not sell consumer health data.
We do not exchange your participation-related health information for money or use it as a commercial data product.
